PETROVIC Annual Grand Meeting 2009 - 17th October 2009

First of all, thank you all for attending the AGM.

The AGM was held immediately after the Annual Dinner to celebrate the graduating scholars.The AGM began with Presidential speech, followed by the year's report of activities and report from the Treasurer. Also, amendments of the constitution were also brought forward, mainly about including MISC scholar into the PETROVIC club. This was followed by voting the new committee.

The voting process went on smoothly. Another change that was made was to include another welfare officer so that each university( Melbourne and Monash) have its own welfare officer. This is done so that, the officers are more approachable personally to discuss personal welfare matters.

We would like to thank Melbourne University for giving us the venue in a short notice and the sponsors for the dinner.

Finally, we as the new committee would like to thank the old committee for their contributions made to the club and providing the new committee a smooth transition. Also we would like to thank all AGM attendees and their votes.

Annual BBQ and General Meeting

On sunday, March 15th 2009 we had our Annual BBQ and General Meeting for year 2009. At first we planned to have our BBQ at Princes Park where we can play some games later, but due to the unpredictable weather, we reckon we should stay somewhere sheltered – College Square Lygon. Thus on the day itself a huge texting frenzy hit us as we were trying to inform as many people as possible for the venue changes.

The menu was, as usual: some bread, sausages, BBQ chicken, potato salad and fruits. Although it was chilling like nobody’s business, we managed to cook (but apparently not fast enough, we turned into MONSTERS when it comes to food!) and made everybody happy *grin*.

After eating, its time to talk talk talk. Azmir was the emcee for the day (because I don’t feel like shouting haha), introducing the new students who just landed to Aussie a few weeks before. Mazlan briefed about our annual activity planner, and Faizal was appointed as the head of dinner committees this year.

PETROVIC Annual Grand Meeting 2008 - 20th September 2008

Thanks to everyone who made it to the AGM!


The AGM went fair smoothly, starting with the Presidential Speech, continued with a quick summary of the yearly activities that Petrovic had been involved in, followed by the Treasurer’s Report, constitutional amendments (which there were none), and ending with the voting of the new committee.


We appreciate you taking time out of your schedules to make your vote. The AGM went smoothly and we would like to thank Melbourne University for sponsoring the venue, we appreciate the help that the university has extended to Petrovic throughout the years.


Thank you to the old committee for their hard work and best of luck to the new committee! We hope that the committee will keep growing and improving by leaps and bounds, and we’re sure that everyone will put in their best efforts!

Meeting with Mr Ezidy, 17th March 2008

Thank you everyone who made it to En Ezidy’s briefing yesterday!


Attendance was good, even with the short notice and the confusion with the venue, which ended up in Malaysian Hall over dinner.


There was a short welcoming speech by Suhaimi, the Petrovic president, before En Ezidy briefed everyone on the current issues and situations of Petronas scholars throughout Australia.


On an academic note, the number of green certificates given out to Petronas scholars (which, as we all know are an indication of the scholars meeting (or perhaps exceeding) expectations) has increased for 2007.


The new arrangements for accommodation are geared to each student having their own room, and respecting privacy issues, as well as increased comfort to students.


There has been no decision made on the allowance issue. However, the issue was reviewed in December and is still under consideration by Petronas. There is a team that is managing the issue at the moment and student input has been taken in, with the information provided by the Petrovic survey and proposal as a guide.


As a result of the Leadership Forum in Sydney 2007, a Scholars Leadership Development Program was come up with. This is currently piloted in Sydney, and will be further trialed in Auckland before implementation to the rest of the Petronas scholars. The aim of the program is to develop competencies required by Petronas : ROTI BALDO (Reach Out, Take Initiative, Be A Learner, and Develop Others).


The role of Petrovic was reiterated as a platform to develop leadership skills, and attendance was encouraged for all scholars.


On a personal note, congratulations were given to Aishah and Martin for being elected technical representatives for the Society of Automotive Engineers (SAE).


QUESTION AND ANSWER SESSION SUMMARY


1. With the introduction of the AUD50 cap, bills can be prepaid with our own electrical providers, as long as the full receipts are given to the Sydney office. Also, since claims are made once every three months, the total amount claimed is AUD150, and this is irrespective of whether the monthly amount is more or less than AUD50.

Eg April AUD40

Student pays AUD50, where AUD40 goes to existing bills and AUD10 is billed separately as a prepaid electricity account. The claim for both bills (as long as it doesn’t exceed AUD50), is accepted.

Eg. April AUD60 + May AUD40 + June AUD50 = AUD150

Even though April’s bills is above AUD50, because the total claim made does not exceed AUD150 for three months, this claim can be accepted.

2. Claims are tri-monthly and can be made at any time.

3. Final year interviews will be from the 4th to the 10th of July, tentatively. For individuals graduating mid-2009, interviews will be held then. The place is still to be confirmed. Petronas will be liasing with MASCA for help to organize transport and information.

4. The allowance proposal is still under review and no decision has been made. It was suggested that a forum between students, the team managing the allowance issues and Hassan Merican be initiated.

Treasurer’s Report

· The treasurer ran through a gross budget report.

· Separate reports for activities were also reiterated.

· The final tally in the treasury was not mentioned as the final yearly activity, the annual dinner, was not over.

· The bank balance stands at AUD1000.

· Improvements to the banking system were deliberated.

· The club decided to allow the use of a Netbanking system, where the treasurer and one other authorized person would have access to the information.

· The use of Netbanking will be implemented next year (2008).

Amendments to the Constitution

1. Committee Term

It was decided that in order to serve on the committee, any interested party would need to be able to complete the entire year of study. This excludes participation by interested parties who graduate in the middle of the year.

2. Dual Roles of Committee

The high committee are not allowed to hold high posts in other committees. This is due to a breach of interest for the club.

3. Voting Procedures

It was discussed if voting should be two thirds or simple majority in order to change part of the constitution.

PETROVIC General Meeting, 5th August 2007

Petrovic's General Meeting was held at College Square Lygon, along with a barbecue.

The purpose of the meeting is to update scholars on activities due to be held in this semester as well as introduce the two new exchange students from Universiti Teknologi Petronas (UTP), Dalila and Gafar.
