PETROVIC Annual Grand Meeting 2009 - 17th October 2009
The AGM was held immediately after the Annual Dinner to celebrate the graduating scholars.The AGM began with Presidential speech, followed by the year's report of activities and report from the Treasurer. Also, amendments of the constitution were also brought forward, mainly about including MISC scholar into the PETROVIC club. This was followed by voting the new committee.
The voting process went on smoothly. Another change that was made was to include another welfare officer so that each university( Melbourne and Monash) have its own welfare officer. This is done so that, the officers are more approachable personally to discuss personal welfare matters.
We would like to thank Melbourne University for giving us the venue in a short notice and the sponsors for the dinner.
Finally, we as the new committee would like to thank the old committee for their contributions made to the club and providing the new committee a smooth transition. Also we would like to thank all AGM attendees and their votes.

Pasar Amal Ria
Last 19th of July, Petrovic has participated in Jualan Pasar Amal Ria Satay Amal.
This event was intended to raise donation for a mosque, a very noble cause indeed.
So, few of our Petrovic participated in this event like L, Azmir, Kuchai (as dikir barat percussion team), Aida (helping out KUAM booth), Faiz (one of the gerai-keeper) and Atok (as a photographer). Also not to forget, all the members who supported this good event. Big claps to you all.
In the event, there are Malaysian and Singaporean performances, recitation of The Quran, lectures and obviously (duhh) the gerai2 which sells lots of yummy food like satay, mi rebus and laksa sarawak.

Please be informed that scholar’ claim is processed daily upon received of complete and well supported documentation. The claim reference point is always the “PETRONAS scholar number” i.e the 8 digit number.
We have noted that 90% of scholar’ claim forms received were not completed i.e no scholar number, no transportation ticket attached for transportation claim, no supporting document/endorsement from Programme Head for book claim etc

SI Interview 2009
To All Graduating Scholars,
Please be informed that the SI which has been scheduled to be held in Sydney in August 2009 is now being cancelled. Management has taken into consideration feedbacks from scholars for classes/lectures/labs not to be interrupted while attending SI. We received the confirmation from Recruitment Dept. in KLCC yesterday evening.
All graduating scholars this year 2009 (July & Dec) will be interviewed once you are back in Malaysia. To ensure all necessary steps are taken to avoid longer waiting time, you are required to submit the following (please see table below). Claim Details
For Academic year 2009/10, we are pleased to share some information as follows:
Claim for transportation
- Scholars are allowed to submit claim for monthly transportation fare (i.e accommodation ->university -> accommodation) and is capped at AUD$50/month (Australia), NZD$50/month (New Zealand).
- Proof of receipt for transportation has to be attached with the claim.
- Medicine scholars : for rotation round, claim to be submitted as usual.
Claim for books
- Scholars are allowed to submit claim for purchases of academic book, if the amount exceeds current allocation of AUD$400/year(Australia) , NZD$188/year (New Zealand)
- Proof of receipt and list of books recommended/endorsed/signed by Head of School/University have to be attached with the claim.
- For unreceipted claim (eg: books bought from Seniors or secondhand shop), list of books endorsed/signed by Head of School/University have to be attached with the claim.
Claim for Foreign Language Class
- Scholars are encouraged to learn a foreign language (preferably Arabic, French, Japanese, Spanish) and fees is claimable.
- This class has to be taken at respective university and preferably, fees should be added to the annual tuition fees. If not, scholars have to pay on their own and submit the claim.
- Proof of receipt for this class has to be attached with the claim.
Claim for Society/Sport
- Scholars are allowed to submit claim for Society/Sport (Choose one. Either Society or Sport), organised/held by/ at the University, with the capping of AUD$100/year (Australia), NZD$100/year (New Zealand)
- Proof of receipt for Society/Sport has to be attached with the claim.
Claim for Utilities
- Scholars are allowed to claim for utilities (electricity, gas and water) and is capped at AUD$50/month (Australia), NZD$50/month (New Zealand).
- Proof of receipt and bill have to be attached with the claim.
Claim for internet charges
- Scholars are allowed to claim for internet charges and is capped at AUD$50/month (Australia), NZD$50/month (New Zealand)[applicable both On Campus and Off Campus accommodation).
- Proof of receipt and bill have to be attached with the claim.
- Note : Internet installation/reactivation charges no longer claimable.
Claim for accommodation rental
- As per current practice. Scholars are allowed to claim (i..e PETRONAS is paying) for accommodation rental and is capped at AUD$300/week (On Campus), AUD$250/week (Off Campus) [NZD$300/week (On Campus, NZD$250/week (Off Campus)].
- Proof of receipt/documentation/tenancy agreement has to be attached with the claim.
- Return of “Bond Payment” is to PETRONAS, should PETRONAS had paid for the bond at the beginning.
Claim for Field Trip
- Eligible scholars (Geology) are allowed to submit claim for “Field Trip” approved/organised by School/University.
- Preferably request University to bill directly to PETRONAS Sydney Office.
- Otherwise, Proof of receipt and list of items required recommended/endorsed/signed by Head of School/University have to be attached with the claim.
Claim for Laundry
- Scholars are allowed to claim for laundry. This claim is put on hold until mechanism resolved as most scholars used coin operated washing machines and dryers.
Other Claims
- Other claims that have not been stated above remain status quo.
- Proof of receipt/bill/supporting documents have to be attached with the claim.

IMPORTANT NOTE
Submission of claims should not exceed the stated capped amount and if one is caught submitting more than the capped amount, stern action is going to be taken.
For claims to be processed effectively, please adhere to the following instructions:
- All proof of receipts have to be attached, ensured legibility, categorised and arranged accordingly.
- All details on the claim form (i.e Scholar number, Bank Sort Branch No., Bank Account, etc) have to be filled in. Failing to do so, claims forms are not going to be processed.
- Staple the claim form together with all proof of receipts and bill or please use a paper clip.
- One claim form for one scholar. To help us identifying who are the housemates/flatmates and distributing the charges accordingly.
- Submit claim form to PETRONAS Sydney Office, not KLCC Office.
We are answerable to audit query and proof of receipts is a must. Please follow the above instructions and give us your full cooperation. Help us to help you. Act responsibly!
Sydney Office could process your claims with all complete documentations. Once processed, disbursement of payment is done by PETRONAS Finance Services Department in Kuala Lumpur (KL).
Kindly keep your own record of your claim. For info, at Sydney Office we process scholars claim daily, we submit to KL once a week. As the claims reach KL, we do not have control over them notwithstanding we state payment request date.
Only the following attached claim form and list of receipted/unreceipted form are accepted. The above new claimable items are valid for receipts dated from 1st Feb 2009 onwards.

Program Kursus Kepimpinan Pelajar Luar Negara

MUOSS Night Market 2009

Melbourne University Overseas Student Service or MUOSS had organised an event recently, called Night Market, which was held in Melbourne University. All clubs and societies involved took part by selling food, organising games and carrying out voluntary works like setting up the tents and providing help and support to each stall manager and staff during the event. It was held on the 3rd of April 2009.
The Preparation
The preparation for this event was carried out by us, first year students, who had absolutely no idea of what was going on. However, the goal of this event was fulfilled, thanks to our seniors who provided us with support and proper information on the ways things should be done, et cetera. PETROVIC had decided to sell satays and cendol to raise fund for the club. At the end of our final meeting, we had decided to add in sirap bandung in our menu to boost profitability.
To our surprise, making satay was quite a pain in the neck. The pain does not include the ‘ordeal’ we had to face when preparing them. It was quite difficult to estimate how much meat we were supposed to get since it was our very first time preparing, making and selling satay in a huge number, but with the help of some of our very experienced seniors, the problems we faced got very much alleviated.
The preparation started by estimating how much raw materials we would need. It was pretty tedious as we did not want excess materials lay to waste. Hence, we came up with a budget list which guided us to make sure that we would not go off-budget.
Our journey started early in the morning on the 2nd of April when we (Rusydina, Amir, Chuah, Faizal, Farouq) went to Fitzroy Market to get materials for ‘kuah kacang’ i.e. peanut gravy, of which addition were pivotal in giving our customers’ satay experience an extra kick. It was challenging for some of us as we had to estimate how much ingredient needed. Therefore, a conclusion on the high level of difficulty involved in the process of making estimation was made.
Another meeting was held a night before the big day. At the same time, the preparation of satay began. We started by chopping onions, garlic, chillies and the meat, of course, with the help of everyone including senior scholars. Everyone came to participate in preparing the satay as it was projected to be our biggest profit contributor in the project.



The Big Day
The day was, to our discontentment, rainy. Thankfully, the weather got better later in the evening. Prior to the event’s start, the stall was nicely decorated, thanks to the committee members. Our theme colour was green, so everyone involved during the big day wore green. At around 6 p.m. the process of the grilling of our sinful satays as well as the preparation of our cendol plus sirap bandung started. The project was a success, as most of our food items were sold, especially the satay thanks to our customers and friends who supported us along the way. We managed to sell around 1000 sticks of satays. At the end of the day, we celebrated with some cendol for ourselves and had a great conversation, with apparent mood of paean and relief lingering in the air. The goal of raising fund for the club was met. Thanks to everyone who did their bit in getting involved, directly, or indirectly to the success of our night market project. It is of my great hope that such enthusiasm, and collaborative spirit shown by everyone can be maintained, and further fortified for our future activities to garner even higher level of success.

Annual BBQ and General Meeting
The menu was, as usual: some bread, sausages, BBQ chicken, potato salad and fruits. Although it was chilling like nobody’s business, we managed to cook (but apparently not fast enough, we turned into MONSTERS when it comes to food!) and made everybody happy *grin*.
After eating, its time to talk talk talk. Azmir was the emcee for the day (because I don’t feel like shouting haha), introducing the new students who just landed to Aussie a few weeks before. Mazlan briefed about our annual activity planner, and Faizal was appointed as the head of dinner committees this year.

Semoga kehadiran saudara-saudari sekalian dapat memeriahkan lagi majlis sambutan Maulidur Rasul untuk tahun ini sambil bersama-sama menghayati pengisian nanti. Pihak penganjur juga mengalu-alukan juadah berupa "potluck" untuk sama-sama dinikmati bersama makanan tengah hari yang akan disediakan.
